Event Production Assistant

CicLAvia is seeking a detail-oriented and energetic event production assistant to join the CicLAvia team. This exciting position will work with a team to execute all aspects of event planning, production and outreach for CicLAvia’s events.

We are looking for someone with event production experience who is organized, outgoing, motivated and has a desire to learn. The ideal candidate will be comfortable wearing many different hats at once and will be extremely detail-oriented with strong communications skills, both verbal and written. In addition, this position requires someone who is a self-starter and is comfortable working in a fast-paced, and dynamic office environment.

Key Duties:

Assist in all components of CicLAvia’s event logistics, including:

  • Event packing, unloading and re-loading, and the organization of all event materials
  • Managing CicLAvia event day merchandise, signage, and supply inventory
  • Updating and maintaining event website and other digital collateral
  • Maintaining databases of route stakeholders
  • Day of event support
  • Office related duties, including drop-offs and pick-ups of event related materials
  • Comprehensive stakeholder outreach and mitigation along each CicLAvia route
  • Communications and coordination with stakeholders, city departments, vendors, sponsors and programming partners
  • Community outreach related to events and other projects

Qualifications:

  • Commitment to the mission and work of CicLAvia
  • Strong desire to work as part of a fun, creative and entrepreneurial team in a fast-paced, and dynamic environment
  • 3-5 years of experience working in event production
  • 2 years of experience working in an office environment
  • Spanish language fluency desirable
  • Expertise in Microsoft Office (Word, Excel, Power Point), and proficiency with Mac computers
  • Knowledge of Airtable and Adobe Creative Suite (Photoshop, InDesign, Illustrator) a plus!
  • Works well with a team
  • Planning and prioritization skills
  • Strong organizational skills
  • Strong written and verbal communication
  • High energy, self-managing, and self-starter personality
  • Adept at managing multiple tasks

Other Requirements:

  • Valid California driver’s license

This is a full-time position with benefits:

  • Starting salary range $44,000-$48,000
  • Medical Coverage
  • Two Weeks Paid Vacation

Outreach Team Members

The Community Outreach Team Member is a part-time, non-exempt position that involves intensive notification efforts and canvassing of neighborhoods along our upcoming CicLAvia event routes. The Outreach Team Member will be responsible for door-to-door notification along upcoming routes, alerting residents and businesses of the upcoming event, taking note of buildings with blocked driveways, and collecting contact information and other data for every stakeholder on the route. The Outreach Team Member may also act as an ambassador for CicLAvia at various community events.

Job Type:

Part-Time, non-exempt (0-30 hours per week)

Reports to:

Director of Production

Outreach & Volunteer Coordinator

Location:

Outreach efforts will take place throughout Los Angeles County, depending on the location of the next CicLAvia event.

Key Duties:

  • Responsible for extensive contact with stakeholders along and surrounding each CicLAvia route
  • Distribution of notification, parking, driveway and alternative access flyers, posters, postcards and any other collateral along the route and to surrounding communities
  • Logging detailed notes of all outreach efforts and communicating issues to Production Team
  • Acting as an ambassador of CicLAvia and representing the organization in a professional manner
  • Answering questions regarding CicLAvia and CicLAvia’s events and programs

Requirements:

  • High School or equivalent
  • Excellent communication skills – verbal and written
  • Ability to walk for extended periods of time
  • Ability to work long and irregular hours in a fast paced work environment, including weekends
  • Ability to work independently and in team settings
  • Reliable transportation to/from locations all across LA County
  • Customer Service, Hospitality, or Canvassing experience a plus

Time Commitment:

Maximum 30 hours a week (Weekdays during business hours and weekends must be open).

Work might not be available every week. Most outreach efforts take place 8 weeks, 4 weeks, and 1 week before a CicLAvia event, typically for 3-7 consecutive days. CicLAvia produces 6 events/year.

  • Strong self-direction and ability to take initiative
  • Openly support the mission and efforts of CicLAvia and their partner organizations
  • Bilingual is a PLUS!
