Event Production Assistant                          

CicLAvia is seeking a Full-Time Event Production Assistant to join our team.  This position will work with the team year-round to execute all aspects of CicLAvia’s events.

CicLAvia is a 501(c)(3) non-profit that catalyzes vibrant public spaces, active transportation, and good health through car-free streets. CicLAvia engages with people to transform our relationship with our communities and with each other.

Are you someone with event production experience who is organized, outgoing, motivated and has a desire to learn? The ideal candidate has a passion for CicLAvia’s mission and is a self-starter, comfortable working in a fast-paced, and dynamic office environment. They are comfortable wearing many different hats and are extremely detail-oriented with strong communications skills, both verbal and written.

The Event Production Assistant works closely with the production team to assist in all aspects of executing CicLAvia Events. This role is a great opportunity for candidates with backgrounds/interest in urban planning, community organizing, and event production. CicLAvia is committed to supporting our staff in their personal and professional growth.

The Event Production Assistant reports to the Chief Program Officer, and is a key member of our team who assists  in all components of CicLAvia’s event logistics (including some evening and weekends when necessary),  

  • Working with the Production Manager to assist with stakeholder engagement i.e. door to door neighborhood canvassing, tabling at community events, presenting at community meetings, and phone calls and emails with stakeholders, businesses and community
  • Assisting the Event Producer and Production Manager with event packing, unloading and reloading, and the organization and inventory of all event materials including signage, merchandise, collateral and other supplies
  • Running errands including drop-offs and pick-ups of event related materials
  • Providing administrative support to the Chief Program Officer and Production Manager as it relates to tracking and developing event related documents and correspondence
  • Office related duties, including answering the phones, returning phone calls, and mailing packages
  • Assisting with input in Airtable databases for route stakeholders, businesses and vendors
  • Day of event support, including overseeing event set up, breakdown, staff and other logistics 

Qualifications:

  • Commitment to the mission and work of CicLAvia
  • Strong desire to work as part of a fun, creative and entrepreneurial team in a fast-paced, and dynamic environment
  • 1-2 years of experience working in event production
  • 1-2 years of experience working in an office environment
  • Must be comfortable driving a 9’ Cargo Van
  • Expertise in Microsoft Office (Word, Excel, Power Point), and proficiency with Mac computers
  • Knowledge of Airtable, Canva and Adobe Creative Suite (Photoshop, InDesign, Illustrator) a plus!
  • Works well with a team

  • Adept at managing multiple tasks
  • Spanish language fluency desirable
  • Valid California driver’s license and access to a vehicle for running errands, helping transport event supplies etc.

 This is a full-time position with benefits:

  • Salary range $45,000-$48,000
  • Medical insurance - CicLAvia covers 100% of employee costs (Begins 60 days after  your start date)
  • Generous Paid Time off

  • 6 paid days of sick time per calendar year (accrues monthly)
  • The CicLAvia team takes an end of year holiday between Christmas and New Year’s as quiet time (essential work only)

  • Public transportation stipend $50 per month for those who utilize public transport
  • Monthly phone stipend (80% of your bill up to $80 per month)

Outreach Team Members

Are you someone who likes to work outside an office and talk with new people? The ideal Outreach Team Member is an outgoing self-starter who also has a keen attention to detail and follow through. The Community Outreach Team Member is a part-time, non-exempt position that involves intensive notification efforts and canvassing of neighborhoods along our upcoming CicLAvia event routes. The Outreach Team Member will be responsible for door-to-door notification along upcoming routes, alerting residents and businesses of the upcoming event, taking note of buildings with blocked driveways, and collecting contact information and other data for every stakeholder on the route. The Outreach Team Member may also act as an ambassador for CicLAvia at various community events. This is a great opportunity for candidates with Customer Service, Hospitality, or Canvassing experience.

Job Type:

Part-Time, non-exempt (0-30 hours per week)

Reports to:

Chief Program Officer

Production Manager, Outreach and Engagement

Location:

Outreach efforts will take place throughout Los Angeles County, depending on the location of the next CicLAvia event.

Key Duties:

  • Distribution of notification, parking, driveway and alternative access flyers, posters, postcards and any other collateral along the route and to surrounding communities
  • Logging detailed notes of all outreach efforts and communicating issues to Production Team
  • Acting as an ambassador of CicLAvia and representing the organization in a professional manner
  • Answering questions regarding CicLAvia and CicLAvia’s events and programs

Qualifications:

  • High School education or equivalent
  • Commitment to the mission and work of CicLAvia
  • Strong written and verbal communication
  • Ability to go door to door, visiting businesses and residences, for extended periods of time and distance
  • Ability to work long and irregular hours in a fast paced work environment, including weekends
  • Works well both with a team and independently
  • Reliable transportation to/from locations all across LA County
  • Customer Service, Hospitality, or Canvassing experience a plus
  • Be friendly, outgoing and enjoy engaging with others
  • Strong self-direction and ability to take initiative
  • Spanish language fluency desirable
  • Proof of Covid19 Vaccination

Time Commitment:

Maximum 30 hours a week (Including weekdays during business hours and some weekends.)

Work might not be available every week. Most outreach efforts take place 8 weeks, 4 weeks, and 1 week before a CicLAvia event, typically for 3-7 consecutive days. CicLAvia produces up to 6 events/year.

This is an hourly position with a pay range of $20-23/hour.
